How do I use transaction filters using Spend Management?

Transaction filters help you find the transactions you need. You can search by amount, card, department, merchant category, status, receipt, tag, and more.

Find transactions

Go to Transactions in Spend Management.

You can find transactions in two ways:

  • Use the Search bar to enter a keyword, such as a merchant name, card user, class, or tag.
  • Select Filters to narrow your results.

You can use more than one filter at the same time.

Apply filters

  1. Sign in to Spend Management.
  2. Select Transactions.
  3. Choose the Reporting or Accounting tab.
  4. Select Filters.
  5. Choose one or more filters.
  6. Select Save changes to see the results.
  7. Clear the filters when you want to see all transactions again.

Filter options

Type

Choose one or more options to view specific transaction types.

Amount

Find transactions that match a dollar amount or fall within a dollar range.

Card

Find transactions made with a specific card.

Departments

Find transactions made with cards assigned to a specific department.
Note: This filter is available only with a Pro Plus subscription.

Merchant categories

Find transactions by spending category, such as:

  • Food & Drink.
  • Fuel.
  • Retail & Goods.
  • Travel & Hotels.

Receipts

Find transactions with or without a receipt attached.

Status

Use this filter to view transactions by status.

  • Completed: The transaction is complete, and the final amount is posted.
  • Pending: The transaction is approved but not yet complete. The amount may change before it settles.
  • Declined: The transaction was not approved. Open the transaction to see why it was declined.

Tags

Find transactions that have a specific tag. You can also enter a tag in the Search bar.

Type

Choose one or more options to view specific transaction types.

Policy violations

Find transactions that do not follow an expense policy set up in Business Settings.

These transactions show an exclamation point icon next to the transaction amount.
Note: A transaction can show as a policy violation even if its status is Pending or Settled.

GL accounts, location, and class

These filters are only available on the Accounting tab.

Before you can use them, a business owner or account admin must set up GL account mapping in Account Settings.

After you add GL account, location, or class values to transactions, you can:

  • Filter transactions.
  • Export transactions.
  • Import transactions into your accounting software.
